Teams and roles

Three roles

Konvyra has three roles. Your role is shown under your name at the bottom of the sidebar.

  • Sales rep: follows up leads, runs deals and writes quotes.
  • Sales manager: leads one or more teams. Distributes lists, follows up and corrects course.
  • Administrator: sets up Konvyra and manages users. Sees everything. The Administrator role is shown as Admin in Konvyra.

The sidebar only shows what your role may use:

  • Every role has Overview, My workspace, Leads, Contacts, Companies, Lists, Pipeline, Calling, Tasks and calendar, Products and Quotes.
  • Reports and Team are for Sales managers and Administrators.
  • Administration is for Administrators only.

The menu is only a way of not seeing what you do not need. What protects the data is the permissions in the system itself: a page or record you may not see cannot be opened by guessing an address.

Which records you see

Which leads, contacts, companies, deals and other records you see depends on your role.

A Sales rep sees:

  • leads they own, and leads on lists assigned to them,
  • contacts, companies, deals and quotes they own,
  • their own tasks, calls and notes,
  • lists they own or have been assigned,
  • their own teams and their own targets.

A Sales manager sees, for the teams they lead:

  • leads, contacts, companies, deals and lists that belong to the team, or that have no team but are owned by a member of the team,
  • the team's members, plus calls, notes and tasks that belong to records they can see,
  • quotes owned by members of the team,
  • the team's targets.

An Administrator sees everything and has no restrictions.

Every role sees the same products, product categories, pipelines, stages, call scripts and block list.

What the roles can do

| You want to | Who | |---|---| | Work with your own leads, deals, tasks and quotes | Every role | | See the team's numbers in Overview | Sales manager, Administrator | | See Reports and Outliers | Sales manager, Administrator | | Distribute lists between reps | Sales manager, Administrator | | Change the owner of leads and deals in bulk | Sales manager, Administrator | | Create a team | Administrator | | Add or remove team members | Sales manager (own teams), Administrator (all teams) | | Set up pipelines, manage users and roles | Administrator |

The permissions in the system decide what you may actually do, and an administrator can change them. See Administration.

Teams

A team is a group of people who work together, for example "Sales West" or "New business". Teams limit what a Sales manager sees, share lists and make results comparable.

The Team page is for Sales managers and Administrators:

  • An Administrator sees all teams.
  • A Sales manager sees the teams they lead.

Create a team

An Administrator does this.

  1. Choose Team in the sidebar, then Create team.
  2. Type a Name.
  3. Choose Create.

The team appears without members. Add them as described next.

Add and remove members

  1. Choose Team in the sidebar.
  2. Choose Add member under the team.
  3. Pick a user in the Member menu. It lists the users in the workspace who are not already in the team.
  4. Choose Add.

The member is added with the role Member in the team. The table shows each person's role in the team as Member or Sales manager.

Remove next to a member takes the person out of the team. Their account stays. The button only appears if your role has permission to remove team members.

An Administrator manages every team. A Sales manager manages the members of the teams they lead.

What a Sales manager does with the team

  • Distribute lists between the reps in the team.
  • Change the owner of leads and deals: select rows and choose Assign.
  • Follow up the day in Overview and the period in Reports.
  • Act on outliers, such as untouched leads and stalled deals, see Outliers.
